Operating rule: confirm current availability before sending; never confirm from memory or an outdated list.

When to use: A portal enquiry arrives and you have not yet verified whether the unit is still available.

Hi {name}, thanks for your interest in {listing}. I’m checking current availability now and will confirm within the hour. In the meantime, could you share your ideal move-in date and budget range?

Operating rule: state that you are checking rather than guessing, and follow up within the window you name.

WhatsApp first response

First reply to a new WhatsApp enquiry

When to use: A new enquiry arrives on WhatsApp, typically from a shared or personal business number.

Hi {name}, thanks for reaching out about {community}. I’m {agent_name} from {brokerage}. Happy to help. Are you looking to buy or rent, and do you have a specific property in mind?

Operating rule: identify yourself and the brokerage in the first message; an unattributed reply feels impersonal and unaccountable.

Qualification

Budget and timeline, without interrogation

When to use: You need budget and timeline before recommending anything, without the enquiry feeling like a form.

To point you toward the right options in {community}, roughly what budget range are you working with, and are you hoping to move within weeks or planning further ahead?

Operating rule: ask once, in one message, and explain why you are asking. Do not repeat questions the lead already answered elsewhere.

Viewing confirmation

Confirming a scheduled viewing

When to use: A viewing time has just been agreed and needs a clear written confirmation.

Confirmed: {property} on {date} at {time}. I’ll meet you at the main entrance. Here’s my number if anything changes: {agent_phone}.

Operating rule: send a written confirmation for every viewing, even ones agreed verbally or by phone.

Viewing reminder

Reminder ahead of a viewing

When to use: The day before, or a few hours before, a confirmed viewing.

Just a reminder. We’re viewing {property} tomorrow at {time}. Let me know if you need to reschedule, otherwise I’ll see you there.

Operating rule: make rescheduling easy to ask for; a reminder should reduce no-shows, not pressure attendance.

After-viewing follow-up

Follow-up after a viewing

When to use: Within a day of a completed viewing, whether or not interest seemed strong.

Thanks for viewing {property} yesterday. What were your first impressions? I have a couple of similar options in {community} if this one isn’t quite right.

Operating rule: ask an open question rather than only “are you interested?” You learn more, and it reads as genuinely useful.

Gone-quiet re-engagement

Re-engaging a lead who stopped responding

When to use: A previously active lead has not replied in one to two weeks, and no stop request is on file.

Hi {name}, checking back in on {community}. No pressure at all if the timing has changed. Happy to send a couple of new options if useful, or step back if you’d rather I not follow up for now.

Operating rule: explicitly offer the option to stop hearing from you; a re-engagement message should make disengaging easy, not harder.

Handoff to colleague

Transferring ownership to another agent

When to use: A lead needs to move to a colleague because of coverage, specialism or availability.

Hi {name}, {colleague_name} will be taking over from here to make sure you get the fastest response. They have full context on {property/community} and what we’ve discussed. You’re in good hands.

Operating rule: send the context to the colleague first, then introduce them to the lead. Never make the lead re-explain their own enquiry.

Polite close-out

Closing a lead with stop-respect

When to use: A lead has explicitly asked to stop hearing from you, or the enquiry is clearly no longer active.

Understood, {name}. I won’t follow up further. If anything changes on your side, my details are here whenever you’d like to reach out.

Operating rule: stop means stop. No further outbound contact, and record the request so no one else on the team re-opens it by accident.

Questions

Before you copy and send.

Do these templates need to be used exactly as written?

No. Adapt tone, wording and local phrasing to match your brokerage and the lead in front of you. Keep the operating rule attached to each template; the wording is replaceable, the rule usually is not.

Do these work for both portal messages and WhatsApp?

Mostly, with minor format differences. Portal messaging systems sometimes strip formatting or attachments, so keep the wording plain; WhatsApp allows a slightly more conversational tone. The underlying content and operating rule stay the same either way.

What if a lead already asked to stop?

Use the close-out template once, to confirm, and then send nothing further. No re-engagement message, no automated sequence, regardless of how promising the lead looked earlier. Record the stop request so it is visible to anyone else who might otherwise contact them.
